Notice of Annual Meeting on June 10, 2025

The 2025 Annual Meeting of the Wolf Trap Woods Homes Association is scheduled for Tuesday, June 10, at 7:30 p.m. at St. Thomas Episcopal Church, 8991 Brook Road, McLean, VA (at the corner of Brook Rd. and Lewinsville Rd).  

The Board has issued a call for nominations for the one seat on the Board that will be open.   Who was elected will be announced at this Annual Meeting, provided a quorum was obtained, that is, provided more than half of the neighbors participated in the vote.   If a quorum was obtained in the election, that quorum will apply to the meeting.   

The nominees are identified with their biographies on a separate post under community news.

We look forward to seeing everyone at this year’s Annual Meeting. 

The Upcoming Board Meetings are on the Second Tuesdays of the Month.  For those who cannot find their calendars, those dates are:

  • July 8
  • August 12
  • September 9
  • October 14
  • November 11
  • December 9
The meeting takes place in-person at McLean Bible Church and online also on Zoom. As a reminder – all WTW residents and homeowners are welcome to attend!

Directions:
– Park in the underground parking garage as close to the building but but as far from Highway 7 as you can get; you should see Portal #2.
– Enter the Church through Portal #2 at the (lower level) southwest end of the building.
– Past the double doors at Portal #2 is a sign-in station where they will ask for your name, cell phone number, and picture.
– The meeting will be in Classroom 1208 just ahead of the sign-in station.

Notice of Special WTWHA Board of Directors Meeting – June 15, 2026

In accordance with Article VI, Section 2 of the Association’s By-Laws, the Wolf Trap Woods Homes Association Board of Directors will convene for a Special Meeting on Monday, June 15, 2026, at 7:30 p.m.

This meeting is open to all lot owners and will take place entirely online. Residents may join the proceedings via the Zoom credentials provided below.

Meeting Agenda

Business transacted at this special meeting is strictly limited to the following four items:

  1. Announcement of 2026 WTWHA Board Election Results and Introduction of New Directors: Official presentation of the Annual Meeting election outcomes and introduction of the newly elected members to the Board of Directors: Robbie Torpey and Peter Fonash. 
  2. Election and Reorganization of Board Officers: Nominations and voting for the offices of President, Vice-President, Secretary, and Treasurer for the 2026–2027 term, pursuant to Article XI, Section 2 of the By-Laws.
  3. Determination of Path Forward for the Tennis Court Common Area Site: Discussion, community planning review, and potential Board action regarding the strategic use, restoration, or alternative development options for the specific common area parcel where the tennis courts were formerly located.
  4. Review and Determination of Landscaping Actions for the Den and Woods Entrances: Discussion and potential Board action regarding landscaping maintenance, overgrowth management, and cost-effective maintenance options for the Den and Woods entrance common area.

The WTWHA Board of Directors invites all homeowners to attend the 2026 Annual Meeting.

  • When: Tuesday, June 9, 2026, at 7:30 p.m.

  • Where: St. Thomas Episcopal Church (In-Person Only)

    (Located at the corner of Brook Rd. and Lewinsville Rd.)

Elections & Community Quorum: The Board has issued a call for nominations for two open Board seats. To officially announce the election results and conduct corporate business, the association must meet its structural quorum of 113 lots represented either in person or via proxy.

If you cannot attend in person, please ensure you submit your proxy form to Sequoia Management prior to the meeting. We look forward to seeing you there to discuss the state of our community!

Dear Homeowners

Just a reminder to vote by 4:00 p.m. on May 28 regarding the special assessment meeting to fund a small part of the tennis court rebuilding.  A quorum of 135 Lots is required for the vote to be valid.
  • This special assessment meeting on May 28 to tally the results is scheduled for 7:30 p.m. via Zoom and in-person at McLean Bible Church, 8925 Leesburg Pike, Vienna, VA 22182. Room 1208.
Also, Dr. Cirillo has called for a special meeting of Board members at 8:00 p.m. on May 28, (to follow the voting meeting), to cover two agenda items only: (1) Next steps for the tennis courts and (2) Planning and preparing material to present to homeowners at the annual meeting.  This meeting also via Zoom and in-person at McLean Bible Church, 8925 Leesburg Pike, Vienna, VA 22182. Room 1208.
 
Updated at 8:07 am ET on Tue May 26: Thirdly, following the special meeting, the Board also will be holding an executive session to address next steps related to a homeowner’s violation of the architectural guidelines regarding the location of a structure in their side yard. This portion of the meeting will begin in open session and immediately adjourn to executive session.
